This article is designed for users holding the Office Manager scope, which provides administrative access to the phone system.
When an employee departs from the company, it is essential to include in your offboarding procedures the deactivation of the former employee's access to the phone system.
In this scenario, Charles Lee Ray has exited the company; however, he still retains access to the resources of the Phone System, including the TotalCX Mobile app and TotalCX Web portal..
Disable Ex-Employee Phone System Access
Step 1.
Access the TotalCX Phone System Web Portal and navigate to Users.
Locate and select the former employee in the User list and proceed to the Advanced tab, where you can choose the option to Reset User.
Step 2.
Select Recycle User (minimum).
If you would like to delete other items from the ex-employees profile check the Optional boxes as needed.
We suggest only to consider the following options:
- Delete Voicemail Greetings
- Delete Answering Rules
- Delete Custom Contacts
Then select Reset.
Step 3.
Select Reset again.
Step 4.
After choosing the 'Reset' option, you will have the chance to revise the First and Last Name, as well as the Email associated with the extensions.
If you don't have this information yet, you can simply copy the provided example. If you do possess this information, please update the First Name, Last Name, Email, and check the 'Send Welcome Email' box before saving.
This action will promptly dispatch a Welcome Email to the new user.
The ex-employee's TotalCX Mobile App will immediately become disabled.
Also, their access to the TotalCX Web Portal will become disabled.
Step 5.
If you did not check the "Delete Answering Rules" optional check box in step 2, you will also need to check the user's answering rules to ensure that there is no forwarding set up.
Navigate to the user's profile > Answering Rules tab
If forwarding exists, delete it and save the rule
